Troubleshoot Booking Issues

This article will help you to identify and troubleshoot some common booking issues you may encounter

If you’re being asked to add a credit card when you have a corporate pool for payments, while trying to book a space, review the common reasons and steps below:

Low fund balance is one of the most common reasons users encounter booking errors.

1️⃣ Have You Exceeded Your Monthly Budget?

  • Check your usage limits:
    Go to My Balance to confirm if you have enough budget left for the month.

  • Action: If you’ve run out of budget, reach out to your corporate admin to request an adjustment.


2️⃣ Do You Have Permission to Book the Type of Space?

  • Check space type limits:
    Go to Profile > Flex Spaces and review your usage limits to confirm that you’re allowed to book the specific space type (e.g., meeting room, desk, private office).

  • Action: If you do not have permission for the space you wish to book,, ask your corporate admin to update your access.


3️⃣ Do You Have Permission for the Specific Space?

  • Check space access:
    Go to Profile > Flex Spaces > Network Access and click View to confirm that the space you’re trying to book is listed as prea-pproved. If you do not see a list, this means your network access has not been restricted — so this is not the issue preventing your booking.

  • Action: If the space is not pre-approved, ask your corporate admin to add this space to your access list.


4️⃣ Is There Enough Pool Fund Balance? Explore detailed steps to resolve issues caused by low workspace credit balances.

  • Check the pool balance: Log into your Upflex account and review the balance of your workspace credit pool. Contact your corporate admin if you need confirmation that sufficient funds are available.

  • Action: Request an invoice for replenishment by submitting the Upflex Pool Invoice Request Form. Pay the invoice promptly using a payment URL provided by Upflex to ensure faster resolution. Confirm the updated balance once the payment is processed.

Tips to Avoid Future Booking Disruptions

  • Monitor Your Credit Pool Regularly: Set reminders to check your balance periodically to avoid running low unexpectedly.

  • Set Automatic Replenishment Thresholds: If available, opt into automated replenishment options to maintain a steady credit balance.

  • Plan Ahead for Large Bookings: Ensure your pool has sufficient funds when planning high-cost bookings.

By staying proactive and managing your account effectively, you can reduce the risk of booking interruptions.

⚠️ Common Booking Errors

❌ “Requested time is outside of the 30-day booking window”

This means the space can only be booked within 30 days of the desired date.

✅ Try booking closer to your desired date, when it's within the available window.

❌ “Hours requested are outside of the location’s operating hours”

Your booking falls outside of the space’s available hours.

✅ Adjust your booking times so that it falls within the space’s operating hours when staff are available.

❌ “Space unavailable”

The space is now fully booked and cannot proceed with your reservation

✅ Choose an alternative room within the space or a new space. Try booking as far in advance as possible to avoid disappointment.
