Adding, Modifying, Deactivating Users

How to add / remove users and learn what settings you can assign to manage your workforce in accordance with your organizational needs

This capability is for Company Admin or Team Admin roles.


🧑‍🤝‍🧑 Adding Users

1️⃣ Go to People > Add People

2️⃣ Enter their email and name, then assign them to a Team and select the appropriate Role (e.g., Company Admin, Team Admin, People Admin, Booking Admin, or User)

3️⃣ (Optional) Add a department or cost center

4️⃣ Click Send Invite

📧 New users will get an email—make sure they click the link to activate their account!

📌 Tip: Remind new users to check their email and click the link in the invitation email to complete their setup.

🧑‍🤝‍🧑 Adding Multiple Users via CSV

1️⃣ Go to People > Add People > Import People > download template

2️⃣ Complete the file with the relevant information on the template. (Optional) Add a department or cost center

3️⃣ Upload the file to the same page it was downloaded

4️⃣ Click Send Invite once uploaded


🧑‍🤝‍🧑 Edit or Modify Existing Users

1️⃣ Go to People

2️⃣ Select the user you want to update.

3️⃣ Select from the 3 tabs (Details, Flex Space, Hubs) to make the required updates


DETAILS TAB:

Add or edit personal information as below including user role, contact details, department, team, cost centre, location information and business title.


FLEX SPACE TAB:

This tab allows you to set limits on the bookings users can make, apply credit card payment settings and set limits on the number of spaces a user can access.


Usage Limits:

  • Select Company Usage Limit if you do not wish to apply individual usage limits for this user. The user will follow the default limits set at the company level.

  • Select Customise for this User if you'd like to set specific limits for this individual.

You can customise limits in two ways:

  1. Limit by $ Value

    • Set a monthly spending cap across all permitted space types (desks, meeting rooms, private offices, airport lounges).

  2. Limit by Inventory

    • Set a monthly cap on:

      • The number of desks that can be booked

      • The budget that can be spent on meeting rooms, private offices, and airport lounges

These options help control spend and manage user access according to your team’s needs.

Individual Credit Card Settings:

  • Select Allow Exceeding Usage Limit if you wish to permit users to go beyond their set usage limits. Any overages will be automatically charged to the credit card on file.

  • Select Apply Usage Limit to Individual Users Credit Card if you do not wish to permit users to go beyond their usage limits.

Network Access:

If you have set up curated network(s)—meaning users can only access a specific set of pre-approved locations—you can view and manage each user’s network access from this page.

  • To view the network assigned to a user, simply click View.

  • To edit a user’s network access, click Edit, then use the Move Network icon to assign the user to a different network.

Note: By default, users have access to ALL LOCATIONS, unless a curated network is applied.

HUBS TAB:

In this section, you can assign users to your company’s designated office locations, also known as Hubs.

Users who are assigned to a Hub will be able to make bookings at that specific office location.

💡 Tip: To edit multiple users at once, go to people > active > check the boxes next to the required names. You can then apply bulk updates to usage limits, space access, credit card payment settings, or company office (hub) assignments.


Deactivating Users

Deactivating a user removes their access to the platform. Personal information (such as name and email) is anonymized, but booking data remains linked to your company.

1. Go to People > Active or Invite Sent tab, depending on if the user actived their account or not.

2. Search for the user by name.

3. Click the X icon to the far right, confirm by selecting Yes.

🔄 Reactivating Users

Currently, deactivated users cannot be reactivated due to anonymization.
