Booking a Meeting Room on Behalf of Someone Else

How can I book on behalf of someone else?

To book on behalf of someone else your role must be set as a Manager or a Primary Contact (Admin). All other users will not be able to carry out this function unless they are assigned permissions by their team admin. This capability is currently only available when using the web version.

Using the Web | Booking a Meeting Room on behalf of someone else

Once you logged in, follow these steps:

Step One: Select the Meeting Room that you would like to book, filter for the Date and Time, then Click 'Book' to review the meeting room details.
Step Two: Within the room details page, go to 'Reservation For', then Click 'Edit'.
Step Three:

  • If the person you are booking for is a Team Member, search for them by entering their name or email.

  • If this person is a Guest, click 'Guest', then add their details by entering their first name, last name and email.

Step Four: Don't forget to add the attendees to the meeting (Adding attendees to your booking)

Step Five: Depending on the room's availability, click 'Book Meeting Room' or ‘Request Meeting Room' and an email will be sent directly to the person you booked for. If you requested the meeting room, the attendee will received a booking confirmation once the space has accepted your request.


  • Your Team Member or Guest will receive the confirmation email, not you.

  • This person will receive a confirmation email within the following 24 hours.

  • Please be aware that in the event of a rejected booking, the rejection email is sent only to the user for whom the booking is made and any invited individuals, not to the user initiating the booking.
