Getting started: your Upflex launch checklist

Who this is for: New Upflex admins setting up their company portal for the first time.

Everything you need to launch is in your admin portal, and most of it takes minutes. Work through this page in order.

Anything marked Default is already switched on — skip it unless you want something different.


Step 1: Set up your portal (about 15 minutes)

Brand your portal

Upload your logo, icon and brand colours in admin settings so the portal looks like yours from day one.

Explore your admin settings

Have a look around before you add anyone else, so you know where things live.

Confirm your payment method is live

If you're using pool funds: check they show as available in the Pools section of your portal. Invites can't be sent until funds have cleared.

If you're using cards: you can add a company or team credit card as your primary or backup payment method, or have users add their own.


Step 2: Decide before you invite users

How will people log in?

Default: email and password, created when each user is invited. No setup needed.

Prefer corporate single sign-on? Email [email protected] with your IT contact and we'll arrange the SSO setup with them.

Automatically adds, updates and removes users as your directory changes. Needs a short IT setup.

Will you group your users?

Starting with one generic team is completely fine. Creating teams, departments or cost centres gives you more granular reporting later, and makes it easier to apply different budgets or permissions to different groups.

Who needs which role?

Think about who needs full admin access, who needs to book on behalf of others, and who manages teams. Roles aren't fixed — you can change someone's role at any time as your programme grows.


Step 3: Optional controls

All of these are open by default and can be changed at any time, so there's no need to decide now.

Space types

Default: users can book everything — desks, meeting rooms, private offices and airport lounges. You can restrict access to specific types if you'd prefer.

Booking budgets

Default: unlimited. We usually recommend starting here and adding limits later if you need them.

You can set limits by value (for example $500 per user per month) or by space type (for example unlimited desks, with meeting rooms capped).

Network access

Default: the full Upflex network. You can restrict access by country, city or named location.

Calendar and chat integrations

Let your team find and book Upflex spaces directly from Microsoft Teams, Slack or Google Calendar.


Step 4: Launch to your team

Two things to agree internally:

  1. Who sends the invites. These go out from your portal once your users and payment method are in place.

  2. Who announces it. A short internal message explaining what Upflex is and how to get started makes a big difference to take-up.

Share the user training guide. Include this link in your announcement so your team knows exactly how to get started — it walks them through booking their first workspace, with video.
